Favorites System

The favorites system allows users to bookmark and organize their most important datasets and searches for quick access. This feature supports both personal favorites and company-wide favorites that can be shared across teams.

What is a Favorite?

A favorite is a bookmark that allows users to quickly access frequently used datasets or searches. Favorites can be applied to:

  • NetSuite Searches: Saved searches that query your NetSuite data
  • Uploaded Files: CSV files that have been uploaded to the platform

Each favorite includes: - The item's unique identifier - The item type (search or file) - A display name - A scope (user or company level) - Creation timestamp

Adding Favorites with the Star Button

Users can add items to their favorites by clicking the star icon (⭐) that appears next to datasets in the dashboard.

How to Add a Favorite:

  1. Navigate to the Dashboard: Go to the main dashboard where your datasets are displayed
  2. Locate the Star Icon: Look for the star icon next to any dataset (NetSuite search or uploaded file)
  3. Click the Star: Click the star icon to add the item to your favorites
  4. The star will turn yellow/gold when the item is favorited
  5. The star will be gray when the item is not favorited
  6. Confirmation: The item is immediately added to your personal favorites

Star Button Behavior:

  • Empty Star: Item is not favorited - click to add to favorites
  • Filled Star: Item is favorited - click to remove from favorites
  • Loading State: Shows a spinning indicator while the action is processing

Company Favorites (Admin Feature)

Administrators have the ability to promote personal favorites to Company Favorites, making them visible to all users in the organization.

How Admins Promote Favorites:

  1. Access Settings: Navigate to Settings → Favorites tab
  2. View Personal Favorites: See all your personal favorites in the "Your Favorites" section
  3. Promote to Company: Click the "Move to Company" button next to any personal favorite
  4. Confirmation: The favorite is moved from personal to company scope

Company Favorite Management:

  • Admin Controls: Only users with 'admin' roles can create and manage company favorites
  • Visibility: Company favorites are visible to all users in the organization
  • Permission-Based Access: While all users can see the name of company favorites, they will only appear in their dataset list on the dashboard if they have permission to access the underlying data

Important Note: Company favorites respect data access permissions. While all users may see the name of a company favorite, it won't appear in their list of available datasets unless they have the necessary permissions to run or access that specific search or file.

Moving Between Scopes:

Admins can move favorites between personal and company scopes:

  • Personal → Company: Promotes a personal favorite to be shared company-wide
  • Company → Personal: Moves a company favorite back to personal scope

Favorites Management

Viewing Your Favorites:

  • Dashboard: Favorites appear in the main dashboard with a star indicator
  • Settings Page: Go to Settings → Favorites tab to see all your favorites organized by scope

Removing Favorites:

  • From Dashboard: Click the filled star icon to remove from favorites
  • From Settings: Use the "Remove" button in the Favorites tab
